Privacy Policy

Last updated: 26 September 2026 (updated to reflect our custom secure document upload).

Who we are

For any question about this policy or your data, contact us at contact@dsmaccountancy.com.

What we collect

When you use our contact form, we collect the information you provide: your name, email address, phone number (if given), business type, and the details of your enquiry.

When you use our secure client document upload, we collect the files you choose to send us (such as bank statements, receipts or HMRC correspondence), together with your name and email address and any details you provide about what the documents relate to. No account or sign-in is required to use this form. Uploaded files are stored in a private, access-controlled cloud storage folder that only DSM Accountancy can access, and we receive an automated email notification when a submission is received.

We do not use cookies or tracking scripts on this site beyond what your browser needs to function normally, and we do not sell or share your information with third parties for marketing purposes.

How we use your information

We use the information you provide to respond to your enquiry, to prepare quotes, to deliver accountancy, tax, bookkeeping and payroll services you engage us for, and to meet our own legal and regulatory obligations (including anti-money-laundering client due diligence, and HMRC reporting requirements where applicable).

Legal basis

We process your personal data on the basis of: your consent (submitting an enquiry or uploading documents); the steps necessary to enter into or perform a contract with you as a client; and our legal obligations as a regulated accountancy practice.

How long we keep your data

Enquiry details from people who do not become clients are kept for a reasonable period to allow us to follow up, then deleted. Client records and documents are retained in line with HMRC and professional body record-keeping requirements, which for most tax and accounting records is a minimum of six years.

Your rights

Under UK GDPR, you have the right to ask what personal data we hold about you, to ask us to correct or delete it, to object to or restrict our use of it, and to ask for a copy of it in a portable format, subject to our legal and regulatory retention obligations. To exercise any of these rights, email contact@dsmaccountancy.com. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been mishandled.

Security

We take reasonable technical and organisational measures to protect the personal data we hold, including access-controlled storage for uploaded documents and encrypted transmission (HTTPS) across this site.
